The world this system had to work in
School groups accumulate tools the way they accumulate campuses: one LMS per acquisition, fees in spreadsheets, and homework on WhatsApp groups parents mute. Most parents are on mid-range Android phones with patchy 4G, so an app that assumes fibre and a laptop simply goes unopened.
The challenge
Three disconnected tools (one per campus), fee collection tracked in spreadsheets, and homework/announcements on WhatsApp groups parents muted.
What we found on day one
- Four campuses ran three unrelated tools; no single view of attendance, results or fees existed
- Fee collection tracked in spreadsheets and reconciled against bank statements by hand each term
- Homework and announcements posted to WhatsApp groups most parents had muted
- Report cards compiled per class per term in Excel, with board-format output re-typed by hand
The solution
We consolidated the four campuses into one LMS with per-campus branding, roles and calendars: homework and attendance that work offline-first on low-end Android, announcements delivered as lightweight push and WhatsApp notifications, online fee payment with instalment plans and automatic bank reconciliation, and exam and result workflows that generate board-format report cards.
Multi-campus core
One data model with per-campus branding, calendars, roles and reporting.
Offline-first parent app
Homework, attendance and notices cached on the device; syncs when the connection returns.
Fee management
Instalment schedules, payment links, receipts, reminders and automatic bank-statement reconciliation.
Exams & results
Marks entry, moderation and board-format report-card generation per campus.
Teacher console
Attendance, homework posting and class-wise communication from a phone or laptop.
Admin dashboards
Collections, defaulters, attendance trends and engagement per campus for the management team.
Integrated with
Our approach, step by step
Consolidated four campuses into one data model with per-campus branding, roles and calendars.
Engineered for low-bandwidth parents: offline-first homework views and lightweight notifications.
Automated fee schedules, receipts, reminders and reconciliation against the bank statement.
Trained teachers in small groups on their own classes — adoption was 100% within three weeks.
The outcome
- On-time fee collection reached 94% in the first term after automated reminders and payment links went live.
- Parent-app usage became daily rather than occasional, because homework and notices now arrive where parents look.
- Administrative staff saved more than 40 hours a month on fee reconciliation and report-card preparation.
- All four campuses were live on one system in 16 weeks; teacher adoption reached 100% within three weeks of training.
“Parents open the app every day now — that never happened with our old tools. And fees reconcile themselves, which our accounts team still finds hard to believe.”
