The world this system had to work in

Multi-branch clinics grow faster than their front desks. Appointment diaries stay local to each branch, patient history is scattered, and reception staff spend their day making reminder calls that patients ignore. No-shows leave chairs idle, and every idle chair is lost revenue plus a longer wait for the next patient.

The challenge

Appointments lived in phone diaries and WhatsApp. No-shows ran 30%, patient history was scattered across branches, and receptionists spent their day on reminder calls.

What we found on day one

  • Nine branches kept nine phone diaries; a patient's history at one branch was invisible at the others
  • No-shows ran at 30%, and reminder calls consumed most of each receptionist's day
  • Prescriptions, X-rays and treatment notes lived in paper files and WhatsApp photos
  • Walk-ins and phone bookings collided with online requests, producing double bookings
What we built

The solution

We built a central booking and patient-record system: per-branch calendars with dentist schedules and treatment-slot rules, automated WhatsApp confirmations and T-24h/T-2h reminders with one-tap reschedule, a unified patient record across all nine branches, and a reception dashboard with live queue, walk-in handling and token display. Phone bookings remain as a fallback inside the same calendar.
