Ask five vendors what a custom CRM costs and you'll get five answers between ₹2 lakh and ₹2 crore. Everyone is quoting honestly — they're just quoting different things. The price is driven by three variables: how many distinct user roles need different screens, how many external systems must be integrated, and how much of the workflow is genuinely custom versus standard.
A useful rule of thumb: a single-workflow tool with one admin role and no integrations lives in the ₹2–6 lakh band. A departmental system — say a CRM with Tally sync and role-based access — typically lands in ₹8–20 lakh. A multi-department ERP or a customer-facing platform with payments, mobile apps and audit requirements starts around ₹25 lakh and scales with integrations, not with screens.
The most expensive line item is almost never the coding — it's the ambiguity. Every 'we'll figure it out later' is a change request waiting to happen. That's why we push for a written scope and a thin-slice prototype before full build: the prototype prices out the unknowns while they're still cheap to change.
Beware the per-developer-month quote without a scope behind it. 4 engineers × 6 months tells you nothing about what you'll receive. Ask instead for the deliverable list at each milestone, who signs off, and what happens to the price when scope changes — in writing.
Finally, budget 15–20% of the build cost per year for hosting, maintenance and small improvements. Software is a living system; the cheapest project is the one that's still worth using in year three.
